FAQ Sample Stocktaking

Sample stocktaking software helps companies complete their mandatory annual stocktaking quickly and easily. Representative samples are determined using legally compliant and certified statistical methods. These samples are counted by teams in the warehouse and recorded in the software.

The software checks the count results for plausibility and tolerance limits. If the required accuracy is achieved, the total value is statistically extrapolated. Finally, audit-proof comprehensive documentation is generated, and the calculated inventory values are transferred back to the ERP or warehouse management system.

Software for sample stocktaking connects to the ERP software (SAP, Microsoft Navision, etc.) and receives all necessary information from the system. You receive a count list automatically generated by the software as a CSV file and can then record the count manually on paper, scan barcodes using MDE devices, or use counting apps like REMIRA’s on Android or iOS smartphones and tablets.
This allows the necessary items to be recorded easily, quickly, and accurately. The recorded data is fed back into the stocktaking software, where automatic analysis takes place.
Sample stocktaking reduces the counting effort by up to 99%. This lowers personnel costs, saves time and reduces stress, and allows normal operations to continue without closing the warehouse. No additional, non-warehouse staff needs to be brought in to assist, and the stocktaking is usually completed within a few hours. Additionally, statistical methods enable stocktaking during the year, further improving inventory quality.
Yes, in principle, every company is suitable for a sample stocktaking, but there are exceptions. Suitability is determined during implementation. There are certain legal requirements regarding inventory accuracy and thresholds for discrepancies in the warehouse that must be met. Highly automated warehouses are particularly well-suited for this inventory method. However, this is not a fundamental prerequisite; the warehouse only needs to maintain sufficient inventory accuracy.
The warehouse also does not necessarily have to be automated to use a sample stocktaking. Sample stocktaking must not be used for perishable goods, very valuable products, or goods subject to uncontrollable shrinkage.

Yes, a sample stocktaking can also be conducted via the cloud, offering additional benefits such as an immediate ROI, since SaaS solutions do not involve high upfront costs. Unlike an on-premise solution, this approach completely eliminates the administrative overhead as well as the maintenance and upkeep of a software system for sample stocktaking, which is only used once a year.

With the REMIRA solution for sample stocktaking, the user is guided step by step through the inventory process, and the count data is transferred via a simple file exchange. Optionally, a digital counting app can also be used on a mobile device.

In principle, sample stocktaking is worthwhile for any company required to conduct a stocktaking. Companies with large or complex warehouses and a high volume of items—such as those in retail, wholesale, manufacturing, or logistics—benefit significantly.

Companies that have previously invested significant personnel costs and time in their annual stocktaking can use sample stocktaking software to significantly reduce costs and effort while simultaneously improving the quality of stocktaking.

Yes, because the counting effort involved in continuous stocktaking is just as high as in a traditional full count on a specific date, but simply spread out over a longer period of time.

From an administrative standpoint, continuous stocktaking actually involves even more effort than a full stocktaking. Since only a small, representative portion of the inventory needs to be counted in a sample stocktaking, there is significant potential for savings here.

Yes, the sample stocktaking has been recognized and permitted as a simplified inventory procedure under Section 241(1) of the German Commercial Code (HGB) since 1977. The REMIRA software for sample stocktaking is also certified by TÜV (data protection) and PWC (PricewaterhouseCoopers GmbH Wirtschaftsprüfungsgesellschaft).

Sample stocktaking software can be integrated into common ERP and warehouse management systems. It is then supplied with the necessary data, including target inventory levels. Based on this, the software automatically generates a list of samples to be counted in CSV format, which subsequently serves as the basis for the count.

The REMIRA cloud solution for sample stocktaking does not require an interface to other systems; the transfer of count data is performed via a simple file exchange.

Yes, especially with a cloud solution for sample stocktaking, such as REMIRA’s, the count can be performed on a mobile device instead of using paper lists. The software sends the count lists directly to the tablet or smartphone, and the counting teams can enter their results there directly. The data is immediately sent to the software and analyzed.
Since the sample stocktaking method is legally recognized and approved, coordination with the auditor is straightforward. The company simply engages in an internal dialogue with its assigned auditor to inform them of the desired sample stocktaking method. REMIRA supports those interested in sample stocktaking during these dialogues if desired or necessary.
